Role Overview
The Executive Assistant is the CEO’s force multiplier. This role ensures the CEO’s time, communication, and focus are spent only on the highest-level decisions that move the company forward. Unlike traditional administrative support, this position operates with foresight, precision, and executive-level judgment.
This is not a junior admin role. It is a mission-critical position for someone who thrives on working at the speed of a high-growth company, protecting and amplifying the CEO’s effectiveness, along with being ultra-tech savvy. You must be tech-forward, leveraging tools and systems to streamline communication, organization, and efficiency. This role works in close alignment with the COO and executive team but is dedicated to managing the CEO’s effectiveness, not the company’s operations.

Objectives
Calendar & Meeting Management
- Own the CEO’s calendar end-to-end.
- Schedule, confirm, and coordinate all calls and meetings, in and outside the business.
- Collect agenda items from executives and team members, organize them into concise briefing docs, and distribute prior to meetings.
- Track attendance, cancellations, and reschedules — informing the CEO immediately.
Inbox & Communication Oversight
- Manage, triage, and clean out the CEO’s inbox daily before business hours.
- Flag and prioritize urgent items that require the CEO’s decision.
- Draft responses for approval when appropriate, ensuring communication reflects brand tone and precision.
- Serve as first line of response where possible.
Daily CEO Sync
- Morning briefing: daily calendar, changes, urgent updates.
- End-of-day recap: open loops, delegated follow-ups, outstanding action items.
- Keep CEO operating with zero surprises.
Follow-Through & Accountability
- Track CEO’s delegated tasks and ensure follow-up happens across the team.
- Chase down deliverables and agenda contributions from executives.
- Keep agendas, notes, and action items current and organized.
Information Management & Organization
- Maintain CEO files, documents, and records in a streamlined, accessible manner.
- Provide executives with necessary prep materials and context ahead of meetings.
- Anticipate what the CEO will need before they ask.
CEO’s Personal Affairs Management
- Oversee the personal affairs of the CEO, including house management, personal calendar, and coordination of personal appointments and commitments.
- Liaise with vendors, contractors, and household service providers to ensure smooth personal operations.
Project Management Support
- Ensure executive sprint boards are updated and new action items are added.
- Distribute meeting notes and track follow-up on deliverables.
Requirements
- 6+ years of prior Executive Assistant experience.
- Operates with extreme ownership and confidentiality.
- Highly organized, proactive, and able to anticipate needs two steps ahead.
- Exceptional written and verbal communication skills.
- Unflappable under pressure; thrives in a fast-paced, dynamic environment.
- Strong executive presence — able to communicate confidently with senior leaders.
- Obsessed with details while maintaining focus on the bigger picture.
- Extremely tech-savvy — fluent in tools such as Google Workspace, Slack, Zoom, AI notetakers, calendar management systems, and other productivity platforms. Able to quickly adopt and master new technologies to streamline executive efficiency.

Job Type: Full-Time / Arizona Residence
This is a remote position, offering flexibility and autonomy, Supra Human requires this candidate to reside in Scottsdale, Arizona. Candidates must be self-motivated, disciplined, and capable of managing their time effectively to meet deadlines and deliver results.
